Job Description JOB SUMMARY Responsible for work that primarily involves interacting with clients, visitors and vendors by performing the following duties. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Welcomes on-site visitors, determines nature of business and announces visitors to appropriate personnel. May assist in answering incoming telephone calls; determine purpose of callers and forward call to applicable personnel. Takes and delivers messages or transfers calls to voice mail when appropriate. Answers questions about the firm and provides callers with address, directions and other information. Monitor reception area and conference rooms, keeps orderly and prepared for use. Maintain professional publications and leisure magazines within the reception area. Receive incoming mail and coordinate with Mail Clerk on handling procedures. Perform other clerical duties as needed, such as filing, photocopying and collating. Maintain electronic conference room calendars. Maintain confidential and sensitive information. SUPERVISORY RESPONSIBILITIES This position has no supervisory responsibilities. TRAINING RESPONSIBILITIES This position has no training responsibilities. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE High school diploma or general education degree (GED) LANGUAGE SKILLS Must be able to comprehend and communicate fluently in verbal and written English. Ability to read and comprehend simple instructions, short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to employees of the firm. MATHEMATICAL SKILLS Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance. REASONING ABILITY Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. COMPUTER SKILLS Must have basic computer skills to include e-mail, word processing, spreadsheet and database applications. CERTIFICATES, LICENSES, REGISTRATIONS None are required. OTHER SKILLS AND ABILITIES OR REQUIREMENTS Must have the ability to maintain a positive attitude and make favorable impressions on visitors while presenting a cheerful image. Vision is required, with or without corrective lenses, in order to view and read computer screens and documents. Must be at least 18 years of age.
