Job Description POSITION TITLE: RECEPTIONIST/BILLING -HR CLERK REPORTS TO: PLANT ADMINISTRATIVE MANAGER SUMMARY Responsible for answering the company phones and greeting visitors. Serve as the first point of contact for new visitors and callers to the company. Process daily invoicing, assist Human Resources and Accounts Receivable departments. DUTIES AND RESPONSIBILITIES RECEPTIONIST Answer the phones in a friendly, helpful, and efficient manner Greet vendors, customers, and applicants, direct them to the appropriate company personnel Keep track of the whereabouts of key personnel and process their calls and messages Prepare letters for mailing, open and distribute company mail Responsible for Daily Invoicing Match delivery receipts to sales orders for invoicing daily Email Invoices to customers Prepare invoices for COD orders daily and call customers to advise amount due Run transactions (credit card machine) for Invoices and pick up orders as needed Copy checks and invoices from cod deliveries and give them to accounting Prepare packages for UPS and /FedEx pick-up E-mail office personnel tracking numbers for packages being shipped via UPS/FedEx Filing as needed Maintain Attendance Controller Process vacation requests and maintain vacation schedule Assist Human Resource and Accounts Receivable department Comply with company policies and procedures Additional duties assigned by Management EDUCATION and/or EXPERIENCE * High school Diploma. * One-three years office/clerical experience. * A friendly, professional image and phone voice * Experience with MS Word, MS Excel, MS Outlook * Self Starter * Able to work with minimal supervision. LANGUAGE SKILLS Excellent speaking and phone communication skills. Good verbal and written communication skills.
