The Administrative Support – Travel Management must be able to perform secretarial and administrative duties. Key responsibilities include, researching, arranging and coordinating travel, transportation and accommodations for employees and clients according to TAPE’s business and budget needs. Other responsibilities include, composing routine correspondence, and communicating with all levels of the project team to gather and convey information.


Review travel requests for the team members to ensure compliance with established reporting requirements.
Move the travel requests through the approval process.
File travel requests on the team portal
Review expense reports reconciling with the corresponding approved travel requests, ensure all necessary material is included. Work with team members to take corrective measures in needed.
File expense reports on the team portal
Update and generate reports from the Travel Tracker Excel spreadsheet.
Reconcile subcontractor travel invoices against the Travel Tracker spreadsheet, input actual data and note discrepancies in recommendation of approval to PM
Reconcile monthly Team TAPE travel invoices for submission to the client organization
Draft explanations of any variances with in the travel expense and invoicing process
Handling of incoming mail.
Uploading documents to the team portal.
Maintains the reception area, kitchen, and conference rooms to ensure that they are kept neat, clean and stocked with appropriate supplies at all times.
Orders and maintains office supplies for the TAPE Orlando office.
Schedules meetings and maintains calendars for the Orlando office conference rooms.
Ensures confidentially of all TAPE information handled.

Must have high school diploma.
Must have a minimum of 2 years of administrative experience and proficiency in the Microsoft Office Suite and basic automated office systems.
Must be able to pass a criminal and credit background check.

Must be a self-starter.
Excellent written, verbal, visual/presentation and interpersonal communications skills.
Ability to consistently make good decisions through a combination of analysis, experience, and judgment.
Experience with suite of MS Office products.
Strong research skills and attention to detail.
Expense with Concur Travel and Expense preferred.
